# PROJECT MANAGER – JOB DESCRIPTION

**Job Title:** Project Manager

**Department:** Operations / Projects

**Reports To:** Operations Manager / Director

**Employment Type:** Full-Time

**Working Hours:** UK Business Hours

**Location:** Remote / Hybrid as applicable

## Role Purpose

We are looking for an organised, proactive and results-driven **Project Manager** to take ownership of projects from initial planning through to successful delivery.

The Project Manager will coordinate people, activities, timelines and resources to ensure projects are delivered on time, within scope and to the required standard. The role will involve working closely with management, operational teams and other stakeholders, providing clear visibility of progress, risks, dependencies and outstanding actions.

The successful candidate will be comfortable managing several priorities at the same time and will take responsibility for driving projects forward rather than simply monitoring progress.

## Key Responsibilities

### Project Planning & Delivery

* Manage projects from initiation through planning, implementation and closure.

* Define project objectives, scope, deliverables, milestones and timelines.

* Develop and maintain detailed project plans and delivery schedules.

* Break projects into clear tasks and assign appropriate owners and deadlines.

* Ensure agreed actions are followed through to completion.

* Monitor project progress against agreed milestones.

* Identify delays early and implement appropriate corrective actions.

* Coordinate multiple projects and workstreams simultaneously.

* Ensure projects remain aligned with business objectives.

### Stakeholder Management

* Work closely with Directors, Managers, Operations teams and other stakeholders.

* Organise and facilitate project meetings.

* Prepare agendas and ensure meetings result in clear actions, owners and deadlines.

* Provide regular project status updates.

* Manage stakeholder expectations and communicate changes or delays promptly.

* Escalate significant issues where management intervention is required.

### Risk, Issues & Dependencies

* Identify project risks, issues, assumptions and dependencies.

* Maintain project RAID logs where appropriate.

* Assess the potential impact of project risks.

* Develop mitigation and contingency actions.

* Track issues through to resolution.

* Escalate critical risks and blockers appropriately.

### Governance & Documentation

* Maintain accurate and organised project documentation.

* Produce project plans, status reports, action logs, meeting notes and decision logs.

* Ensure important project decisions and approvals are documented.

* Maintain appropriate version control and document storage.

* Support the development and improvement of project management processes, templates and standards.

### Resource & Team Coordination

* Coordinate activities across different teams and departments.

* Ensure team members understand their responsibilities, priorities and deadlines.

* Follow up on outstanding actions and deliverables.

* Identify resource constraints that may affect delivery.

* Support managers with prioritising work where multiple projects compete for resources.

* Build positive working relationships across geographically dispersed teams.

### Performance & Reporting

* Establish appropriate measures for project performance.

* Track delivery against milestones and agreed outcomes.

* Produce weekly or monthly project reports as required.

* Highlight completed activities, upcoming milestones, risks, issues and decisions required.

* Provide management with clear visibility of overall project health.

### Continuous Improvement

* Conduct project reviews and capture lessons learned.

* Identify opportunities to improve processes, systems and ways of working.

* Support implementation of agreed improvements.

* Help introduce consistent project management practices across the organisation.

* Identify inefficiencies, duplicated activities and delivery bottlenecks.

## Essential Skills & Experience

* Previous experience in **Project Management, Project Coordination or a similar delivery role**.

* Strong planning, organisation and time-management skills.

* Ability to manage multiple projects and competing priorities.

* Strong stakeholder management and communication skills.

* Experience developing and maintaining project plans.

* Good understanding of project risks, issues, dependencies and change management.

* Strong problem-solving and decision-making abilities.

* Ability to challenge delays professionally and drive actions to completion.

* Strong written and verbal English communication skills.

* Excellent attention to detail.

* Confident using Microsoft Office, particularly Excel, Word, PowerPoint and Teams.

* Comfortable learning and using project management and business systems.

## Desirable Experience

* Experience working within **healthcare, social care, technology, recruitment or professional services**.

* Experience working with UK-based organisations or clients.

* Experience coordinating remote or international teams.

* Knowledge of Agile, Waterfall or hybrid project delivery methodologies.

* Experience using project management tools such as Jira, Monday.com, Asana, Trello, ClickUp or Microsoft Planner.

* Project management qualification such as **PRINCE2, AgilePM, APM, PMP or equivalent**.
